In part three of the Patients Tutorial, you will learn how to Open, Edit, Delete and Change the Status of existing patients.
To Open or Edit a Patient, click the Name of the Patient to open the patient record.
There are multiple tabs within a patient record. In this tutorial, you will learn how to update information within the Patient Profile Summary at the top of the page, and the Demographic and Settings sections of the Details tab. The other sections and functions within the patient record all have their own dedicated support page.
Patient Profile Summary
At the top of the patient record, you can see a summary of the patient's DOB, Gender & Status, Address and Phone Number.
To add a photo to the patient's record, hover your mouse over the Patient Icon. Click Update Patient Photo to open a file explorer window.
Navigate to the location of the photo, select the image, and then click Open or Add (depending on your operating system).
The patient's photo will now be visible within the profile of their record, and it will be visible to all users at your clinic. To update the photo in the future, just follow the same process.
On the right-hand side of the Patient Profile Summary, you can change the patient's settings of (1) Patient Type, (2) Usual Provider and (3) Usual Practice. From here you can also send them an (4) App Invite to share their patient record on the MediRecords Patient Smartphone App.
Whenever a patient record is created, they are listed as Patient Type: Standard.
To change the patient type, click the Patient Type (1) to reveal a drop-down list of patient types. Click to select the Patient Type.
To change the usual provider, click the Provider Name (2) to reveal a drop-down list of providers registered on your subscription. Click to select the Usual Provider.
To change the usual clinic, click the Clinic Name (3) to reveal a drop-down list of the clinics registered on your subscription. Click to select the Usual Clinic.
Once you have finished making changes to the Patient Profile Summary, click Save to apply the changes.
To send a patient an invite to share their medical record on the MediRecords Patient Smartphone App, you first need to update the patient record with a valid, up-to-date Email Address and Mobile Phone number. Following this, you need to set their mobile phone as the Primary Contact Number.
Remember to click Save to apply the changes before sending the invite.
To send the invite, click App Invite.
The system will issue a notification, prompting you check the Email Address, Mobile Phone No. and DOB are up-to-date.
Click Continue to send the app invite.
The App Invite button will change color, and now say App Pending.
The patient should receive a text message on their phone within a couple of seconds, inviting them to install the MediRecords Patient Smartphone App.
If patient does not received their invite by text message, double check that their mobile phone number is correct. To resend the invite, click More to reveal a drop-down list, and click App Reinvite.
If the patient still does not receive their SMS invite, please contact MediRecords Support on 1300 111 222.
Patient Details
In the Demographics section of Patient Details, you can add or update Addresses (Primary and Secondary), Emergency contacts, Referral names and Family members. As well as updating or adding additional Contact Details.
To Add a Secondary Address, click Secondary and type in the details of the address in the form below.
Click Save to apply the changes.
To Add an Emergency Contact or Next of Kin, click Emergency and type in the details in the form below.
Click Save to apply the changes.
To Add a Referral, click Referral, and then click the + icon to open the referral form.
Complete the referral form with all the required details and click Save.
The referral will now be visible in the referrals list.
To Add a Family Member, click Family, and then click the + icon to reveal a drop-down form.
Click Search Patient and type in the first few letters of the patient's name. Click to select the patient from the list.
Click Relationship to reveal a drop-down list of relationships. Click the select the relationship.
If the family member is head of the family, click the Head of Family tick-box. Click OK to complete.
Managing Existing Patients
To Delete a Patient, click the Tick-box next to patient name to reveal a list of options. Click More and a dropdown list will show. Click Delete to permanently delete the selected patient record.
Click Yes to acknowledge the record will be deleted.
To Delete Multiple Patients at Once, click the Tick-boxes next to the names to reveal a list of options. Click Delete to permanently deleted the selected patient records.
Click Yes to acknowledge the records will be deleted.
To Deactivate a patient, click the Tick-box next the patients name to reveal a list of options. Click Status, and then click Deactivate.
To Reactivate a patient, click the Tick-box next the patients name to reveal a list of options. Click Status, and then click Activate. If you cannot view deactivated patients, please check your filter settings
More Actions
To perform additional actions, click the Tick-box next to patient name to reveal a list of options. Click More and then select either Delete, Validate IHI, Open Consultation, View Clinical Dashboard, Export, SMS on Demand, Invite to Mobile App, and Create Patient Invoice.
OPV stands for Online Patient Verification. Clicking OPV will validate the patients details with Medicare Online.

Validate IHI will validate the patient's Individual Healthcare Identifier (IHI) online.
Open Consultation will start a consultation and open the patient's file on the Clinical tab of the patient record.
View Clinical Dashboard will open the patient's file on the Dashboard tab of the patient record. The Clinical Dashboard displays a summary of the patient's medical records, alerting you of any actions that are required.
Export will export the selected record or records to Microsoft Excel.
