Welcome to the MediRecords Schedules Tutorial
This tutorial has been written to give new users an informative overview of Schedules functionality in MediRecords.
If you are looking for a specific work instruction or function, try looking at the Frequently Asked Questions within the Schedules & Items Settings Support Page. Each of these articles contains a detailed work instruction relative to the topic.
The settings for Schedules are located within the Accounts section of the Settings page of MediRecords. To open Settings, click More to reveal a drop-down list, and click Settings.
Click Accounts.
Click Schedules.
The Schedules homepage displays a list of MediRecords fee schedules available at your clinic.
Schedules are used to manage Medicare Benefits Scheme (MBS), Dept. of Veterans Affairs (DVA), Health Fund and Third Party fee schedules. Schedules can be assigned to Practices and Providers.
*NOTE: Custom schedules need to be assigned to specific users to be usable on an invoice. Please click here for our guide on how to assign a Schedule.
New fee schedules can also be created using the below methods:
MBS Derived - Uses the MBS item codes and fee schedule with a fixed margin (either dollar value or percentage) on top of the MBS fee.
MBS Custom - Uses the MBS item codes, however each item is assigned a custom fee.
Third Party - Uses the item codes and fee schedule from a Third Party providers fee schedule.
Custom - A custom fee schedule with unique item codes, unrelated to either the MBS or a Third Party fee schedule
This tutorial will cover how to create and edit both an MBS Derived Schedule, and a Custom Schedule which can have custom items added to it.
Creating an MBS Derived Schedule
To Create a New MBS Derived Schedule, click New Schedule.
Give the schedule a Name, and then click Schedule Type and select MBS Derived.
Complete all additional fields as required, and then click Save.
The newly created MBS Derived fee schedule will now appear in your list of fee schedules.
Creating a Custom Schedule
To Create a New Custom Schedule, click New Schedule.
Give the schedule a Name, and then click Schedule Type and select Custom.
Complete all additional fields as required, and then click Save.
The newly created Custom fee schedule will now appear in your list of fee schedules.
Editing Schedules
To Edit a Schedule that you have created, click the Tick-box next to the name to reveal a list of additional options for fee schedules.
*Note: System-created fee schedules, like MBS or DVA, cannot be edited
Click Open Schedule to edit the selected schedule.
Update all the required fields and click Save.
Click Yes to acknowledge the changes to the schedule fee data.
To Delete a Schedule that you have created, click the Tick-box next to the name to reveal a list of additional options for fee schedules.
*Note: System-created fee schedules, like MBS or DVA, cannot be deleted
Click Delete to the delete the schedule.
Click Yes to acknowledge the schedule will be deleted.
Items
To Add an Item to a Custom Schedule, click the Tick-box next to the name to reveal a list of additional options for fee schedules.
*Note: Items can only be added to Custom Schedules. Predefined fee schedules like MBS or MBS Derived cannot have custom items added to the fee schedule
Click Add Item to create a new item for the selected custom schedule.
Fill in all required information on the New Item form and click Save.
The system will send an alert once the item has been created. Click OK to acknowledge the item being created.
Click the Name of the Schedule view the items associated with it.
The item created is included in the list of billable items on the custom fee schedule.
