Consultation Billing in MediRecords streamlines the process of raising invoices directly at the end of a patient consult. This feature saves time for providers by allowing them to generate invoices without switching between multiple screens, while also ensuring billing information is captured accurately at the point of care.
For admin staff, it reduces follow-up work and helps maintain a smoother flow between clinical and financial records, minimising the risk of errors or delays.
By enabling Consultation Billing, providers can configure their preferences so that default billing items or commonly used codes appear automatically, speeding up the invoicing process. In turn, admin staff benefit from invoices being immediately available in the patient’s account, with patients seamlessly moving from the consultation stage to billing in the Waiting Room.

Activating Consultation Billing
Consultation Billing is not enabled by default and must be configured per user.
- Click the Person Icon and select Preferences.
- Click on the Invoices tab.
- Tick the box for Enable Consultation Billing.
- (Optional) Tick Derive attendance item for Consultation BIlling to have a commonly billed item appear by default.
- Click Save.
Using Consultation Billing
- After completing a consult and clicking Finish in Today's Notes.
- The Consultation Billing window will appear.
A default item will appear automatically if Derive attendance item for Consultation Billing was enabled. -
Enter the Provider, Payee (Bill To), and Schedule (Account Type).
✅ Tip: These fields can be auto-filled based on your Invoice Preferences. - Add items by entering the item code and selecting it from the drop-down.
- To remove an item, hover over the right side of the item record and click the X.
Managing Favourite Items
If you frequently bill the same items, you can create a Favourites list:
- Search for an item and click Add to Favourites.

Tick the box next to Favourites to view your list.
ℹ️ Note: The top item field will auto-populate with your favourites during each new Finalise Account. - To remove an item, hover over the right side and click the X.
Finalising Consult Billing
Once satisfied with the invoice:
- Enter any additional information in the fields below.
- Click Save.
Consult Billing & Derived Items
If Consultation Billing is enabled, default invoice preferences for either Patient or Provider can be shown on the Finalise Account window after a consultation.
If Derive attendance item for Consultation Billing is selected in your User Preferences, an MBS item associated with the Duration and Time of Day of the consultation will be added automatically.
