Correspondence Out in MediRecords helps you manage all letters and documents sent from a patient’s record. This feature is essential for maintaining accurate clinical documentation, ensuring continuity of care, and supporting clear communication with patients, specialists, and other providers.
From the Correspondence Out section, users can import new letters, edit or delete existing ones, update their status, preview them before sending, and use search and filter tools to quickly locate specific items. Efficient management of outbound correspondence supports compliance, streamlines workflows, and ensures patients receive timely, accurate information.

Importing an Outbound Letter
- Open the Patient Record.
- Go to the Clinical tab.
- Navigate to the Correspondence section and select Out.
- Click Import to open the letter import form.
- Select the Date, From, To, Subject, and Category.
- Click Details and enter any relevant comments.
- Tick the Confidential, Add to Today's Notes, and/or Publish to Engage box/es if applicable.
- (Optional) Click More to select a Status, set a Follow-up Date, or Assign a Review Task.

To add an attachment, click Select File, choose the file, and wait for the upload to complete.
✅ Tip:
• Supported document types: pdf, png, jpg, jpeg
• Maximum allowed file size is 20 MB - Click Save to finish.
The outbound letter is now imported into the patient’s record.
Editing Outbound Correspondence
- Open the Patient Record.
- Go to the Clinical tab > Correspondence > Out.
- Click the Date of the letter or tick the box next to it and click Open.
You can now review or edit the letter’s properties.
Deleting Outbound Correspondence
- Open the Patient Record.
- Go to the Clinical tab > Correspondence > Out.
- Tick the box next to the letter.
- Click More, then select Delete.
- Click Yes to confirm.
The letter will be permanently deleted from the patient’s record.
Changing Status
Method 1:
- Tick the box next to the letter.
- Click Status and select Draft or Final.
Method 2:
- Open the letter by clicking the Date or ticking the box and clicking Open.
- Click More, select Draft or Final, then click Save.
The status of the letter has now been updated.
Previewing
- Tick the box next to the letter.
- Click More, then select Preview.
- A preview window will open. Click X in the top-right corner to close it.
Searching
- Use the Search Box in the Correspondence Out section.
- Enter a keyword from the Subject, Category, To, or From fields.
- Press Enter on your keyboard or click the Search icon to view matching results.
Filtering
- Click Filter in the Correspondence Out section.
- Select filters under Status or Category, or use both.
The list will update based on your selected filters.
