Adding a digital signature to your letter is a simple way to make documents official, secure, and ready to share without printing, scanning, or signing by hand. Whether you’re issuing a medical certificate or sending formal correspondence, electronic signatures help you work faster while keeping everything neatly stored in the patient record. In this guide, we’ll walk through how to create a letter and apply a digital signature directly to a PDF, so your documents are professional, complete, and finalised in just a few clicks.

Creating & Adding a Signature
- In the Patient Record, navigate to the Dashboard or Clinical Tab. In the Clinical Tab, click on New Letter icon, or go to Correspondence, click OUT then select New Letter.
- A form will open, fill out the details for Subject Name, To (Recipient) field, and Additional Details (optional). The Letter Sender will default to the current user, but you can also change it to another user.
- Click Save
- Click Letter on the upper-left corner of the letter writer and select a Category where your PDF Template is assigned to.
In this scenario, we selected Medical Certificate and selected a medical certificate in PDF format
5. The first saving inserts data in the mail merge fields in the PDF letter and makes Signature, Text and Image available in the PDF toolbar.
6. Click on Signature icon then click Add Signature on the dropdown.
7. Click on Add Signature to open Create or Add a Signature window. Users can Type, Draw, Upload or Select a saved copy of a signature using the window.
8. Click on Save to save the signature for future. Click on Insert to insert the typed signature in the letter.
9. Once the Signature is inserted, select the blue box to resize and drag the signature to its location.
10. Click on File and select Save.
11. You can change the Status of the letter from Draft to Final then Save.
12. Go back to the Correspondence grid and locate the letter and expand. The Signature is added on the PDF Letter.
