Once you have created letter templates in MediRecords, the next step is learning how to manage them effectively. The Letter Template table provides a central location where you can view, edit, and maintain all of your templates, ensuring they stay organised and ready for everyday use. From this screen, you can quickly locate templates with the search bar, apply filters to narrow results, and access editing tools to refine content or update formatting as required.
Managing your templates also gives you greater control and flexibility. You can preview templates before use, check audit history to see who created or last updated them, and adjust their status or mark them as favourites for easy access. Whether you are updating existing templates, deactivating those no longer needed, or streamlining your most-used documents, the template management screen helps you keep your resources up to date and consistent across your practice. This saves time, reduces administrative effort, and ensures high-quality communication with patients and clinical partners.
NOTE: The Syncfusion Letter Writer tool is currently only available for customers who use Admissions.
You would need to navigate to More > Resources
Select Letter Templates.
This will bring you to the letter template grid. From here you can view and edit previously created letter templates, create new letter templates, and/or change some of the settings for individual letter templates. You can locate a particular letter template with the Search bar and narrow your results using the Filter dropdown.
When having select Filter, a menu will appear where you can filter by the following options:
- Category
- Type
- Sharing
- Status
- Favourite
Once you have selected what filters you would like to search by, select Apply.
Once you have hit Apply, you will only see the results that match your search. You can always know a filter has been applied as there will be a blue dot on the filter icon.
To adjust or remove the filter you need to click on Filter again and either select Clear all > Apply or amend the filter categories > Apply.
When you have located the letter template you want, you can edit the template itself by either clicking on the blue highlighted template name or selecting the pen icon to the right of the template entry. These buttons will take you to the Template Builder.
You may also navigate to preview a letter template by selecting the eye icon to the right of the template entry next to the pen icon.
Next to the eye icon, you can hover your cursor over the 'i' symbol to see who created the template (including a timestamp) as well as who was the last user to edit the template (also including a timestamp).
You may also change the Status or indicate if a letter template is a Favourite or not from the letter template grid. Changing the status of a letter template to Inactive will cause it to not be usable until it is changed back to Active. To make these changes simply click the sliding bar under the corresponding column for the desired letter template.
From this grid, you can also view the kind of Share, Type, and Category of a letter template. You cannot change these settings from this screen but must do so from within the Template Builder.
