Claiming immunisations through the Australian Immunisation Register (AIR) is an essential part of maintaining accurate patient records, meeting national reporting requirements, and ensuring compliance with Australian healthcare standards. MediRecords makes AIR claiming simple and flexible, allowing you to automate submissions or manage them manually depending on your clinic’s workflow.
This guide walks you through the full AIR claiming process — including how to submit claims, troubleshoot rejected claims, edit immunisation records, and search, filter, or print claims for reporting purposes. With these tools, you can ensure your immunisation submissions are complete, accurate, and efficiently managed.

AIR Claiming: Practice & User Configuration
Sending an AIR Claim
MediRecords supports two methods for submitting AIR claims:

Automatic Submission
If the Automatically Submits AIR Claim setting is enabled, each immunisation is automatically submitted to AIR as soon as it is created.

Manual Submission
If the setting is disabled, newly created immunisations remain in the AIR Claiming window until a user submits them manually.
Automatic Submission Setting
- Go to More, then Settings, and open Configuration.
- Select the Practice
- Go to the Claiming-PRODA tab, check or uncheck Automatically Submits AIR Claim, then click Save.
ℹ️ Note: If automatic submission is enabled, you may now move to Managing AIR Claims.
If disabled, follow the instructions below to manually process claims.
Manually Submitting an AIR Claim (via MediRecords)
Before submitting, ensure the immunisation has been created in the patient record.
For more details, see: Immunisations.
- Go to Accounts, then select AIR-Claiming.
- The AIR Claiming Dashboard contains two sections:
Not Transmitted — pending claims-
Completed — processed claims

Completed — processed claims
- Click the Not Transmitted doughnut graph to display all vaccine claims not yet submitted, tick the box beside each vaccine you want to submit, and then click Claim.
- To submit all pending claims at once, tick the top left checkbox to select all, then click Claim.
Manually Submitting an AIR Claim (via AIR Website)
If you have already submitted a claim via the AIR website, you will need to update the claim within MediRecords to show that you have done so.
Tick the immunisation(s) in the Not Transmitted list, click More, and then select Send Claim Manually.
ℹ️ Note: This does not send the claim to AIR.
It simply marks the claim as completed in MediRecords because it has been submitted through another method.
Managing AIR Claims
Filters
To narrow the list of AIR claims, click Filter and choose one or more criteria under Channel or Provider to update the list to show only matching claims.
Searching
To locate a specific AIR claim, click the Search field, enter a keyword (e.g., vaccine name, patient, provider, batch number), and press Enter.
MediRecords will display all matching claims in the grid.
Editing a Claimed Immunisation & Dealing with Rejections
To open and edit the immunisation record
- Tick the box beside the vaccine and then click Open Immunisation.
- Make the necessary adjustments and then click Save.
Viewing Validation Errors & Rejection Reasons
In the Not Transmitted section, open a claim by ticking it, then click More and select View Submission Report:
- Validation errors
- Rejection reasons
- Status messages (e.g., Failed, Pending, Awaiting Confirmation)
Accepting & Confirming a Failed Claim
If a claim has a Failed status, you may:

Correct & Resubmit
Tick the claim, click Open Immunisation, edit and save it, then click Claim again.

Accept & Confirm
Use this when AIR requires confirmation, but no data change is needed
This ensures claims are accurately corrected or confirmed based on AIR requirements.
Printing AIR Claims
To print an individual claim, tick the claim and then click the Print icon.
Print all unsubmitted claims by ticking the top-left checkbox in the list and then clicking the Print icon.
Completed Claims
The Completed section of the AIR Claiming Dashboard displays the history of all previously submitted claims.
To view a Submission Report, click the Completed doughnut graph, tick the individual claim, click More, and select View Submission Report.
Submission Reports provide:
- Claim transmission details
- Whether AIR received the claim
- Processing status
- Acceptance or rejection outcomes
- Rejection reasons (if applicable)
