Connecting MediRecords to AIR ensures your practice can seamlessly record and claim immunisations. Correct setup reduces administrative delays, improves data accuracy, and keeps patient immunisation records aligned with national standards. This supports compliance and enhances patient care by centralising vaccination history.
Registering for AIR through PRODA
To access AIR Claiming, complete these steps:
- Register each provider with PRODA. Individual PRODA accounts are required to access AIR.
- Link providers to your practice organisation in PRODA.

Submit the HW027 Provider Agreement Form to Medicare to enable claiming.
✅ Tip: If a provider is already registered for Medicare or ECLIPSE claiming, this step can be skipped. - Register bank details against each provider number and Minor Site ID for providers who will claim via AIR.
Configuring MediRecords for AIR
Location Code Configuration
- Click More, then Settings, and select Configuration.
- Click the practice you’re configuring.

Open the Claiming–PRODA tab, ensure the Location Code (Minor Site ID) is correctly entered, and click Save if you make any changes.
Provider Number Configuration
Add provider numbers for all sites where providers will perform immunisations.

To configure your own number, click the Profile icon at the top-right, then select Profile.

To set up other users, go to More, then Settings, and select Subscription Details.

Click Users.

Click the user Name.
- Open the Identifiers tab, enter a valid Provider Number for each location where the provider administers immunisations, and then click Save.
Automatic Submission vs Manual Submission
You can choose whether immunisations are automatically submitted to AIR or manually submitted later. Configure this using the Automatically Submits AIR Claim setting in the Claiming–PRODA tab.
ℹ️ Note:
• If enabled, the system automatically submits the AIR claim as soon as the immunisation record is created.
• If disabled, the immunisation record appears in the Not Transmitted view with a status of Pending. You must manually click Claim to submit the record.
To change this setting:

Click More, then Settings, and select Configuration.

Click the practice you’re configuring.
- Open the Claiming–PRODA tab, tick or untick Automatically Submits AIR Claim, and then click Save.
Using an AIR Clinic Provider Number
If an AIR Clinic Provider Number is entered, it will be used as the Immunisation Provider Number for all AIR claims, regardless of who administered the vaccine. This means all users assigned to that practice will act as an Immunising Provider.
Important Notes:
- This option is only available to practices that have organised an AIR Clinic Provider Number directly with AIR. If not arranged, claims will not submit.
- Individual provider Medicare numbers will not be sent if an AIR Clinic Provider Number is entered.
- The code must be a 7-character alphanumeric value and can be shared across multiple practices.
- There is no algorithmic validation on the AIR Clinic Provider Number.
To add the AIR Clinic Provider Number:

To set up other users, go to More, then Settings, and select Subscription Details.

Click Practices.

Click the practice Name.
- Open Identifiers, enter the AIR Clinic Provider Number, and click Save.
