Secure Messaging Rejections
Secure Messaging Rejections are messages received by MediRecords to inform us that a message could not be delivered to a Provider due to their configuration not being correctly set within MediRecords. Providers will get an email from MediRecords Support informing them that their Provider Number or Configuration needs to be set correctly.
This section will walk you through how to rectify these rejection messages in a timely manner, to ensure that you continue to receive seamless secure messages without disruption to your workflow and continued patient care.
Secure Messaging Rejections can occur due to two reasons:
Provider Number Not Entered Correctly
When a Clinician's Provider Number is not entered correctly within MediRecords, the following rejection message is received:
2025-10-13 00:00:00 | Laverty Pathology | 123456AB, DR JOHN SMITH | Laverty Pathology | 651006563 | | QML | Cannot find Recipient
In order to rectify this, navigate to the Clinician's Profile, go to the Identifiers section, enter the correct Provider Number against the correct practice, and click Save.
If you are registered for multiple Provider Numbers and wish to host them all in MediRecords in order to receive all messages available to you, you will need to create an additional Practice, subscribe yourself to the new practice in your profile, and add the Provider Number to your Identifiers section. This will enable you to use multiple Provider Numbers to receive secure messages into your Inbox.
To ensure that important results or information is not lost, we advise you to contact the lab that sent the message to attempt to resend this secure message.
If you no longer require Secure Messaging for this Provider Number, please alert the sending company that you no longer need this service and/or provide them with your correct Provider Number. It is important to do this to ensure you receive your results for your other Provider Numbers in a timely manner.
Secure Messaging Configuration Not Entered Correctly
When the practice's Secure Messaging Configuration is not entered correctly within MediRecords, the following rejection message is received:
2025-10-13 00:00:00 | DHM PATHOLOGY | 123456AB, DR JOHN SMITH | | 20251013-695038.F.69883 | "mr000847" | Fetch | Secure Messaging Configuration is not set
In order to rectify this:
- Click More
- Select Settings.
- Click Configuration.
- Select the correct practice.
- Click Secure Messaging.
- Select the relevant secure messaging broker and enter the correct information against it.
- Click Save.
To configure Healthlink, see the Healthlink Configuration section above.
To configure Medical Objects, see the Medical Objects Configuration section above.
For Fetch, MQLink, and Clinical Labs, simply select the check box next to the broker name and click Save.
If you no longer require Secure Messaging for this Provider Number, please alert the sending company that you no longer need this service. It is important to advise the pathology or radiology department of this change to ensure you receive your results for your other Provider Numbers in a timely manner.
Troubleshooting
The following are common configuration issues seen when setting up Secure Messaging. Try the suggested fix first; contact MediRecords Support if the issue persists.
Healthlink Messages Not Being Received
Cause: The Healthlink Alias field is case-sensitive. If the alias is entered in upper or mixed case, MediRecords will not correctly match incoming Healthlink messages to your practice.
Resolution: Open Secure Messaging settings for the practice and confirm the Healthlink Alias is entered in lower case exactly as provided by Healthlink, then click Save.
Escalate when: The alias is confirmed correct and in lower case, but messages are still not arriving. Contact MediRecords Support for further investigation.
Medical Objects Messages Not Being Received
Cause: The Medical Object ID has been entered without the full Namespace^Medical Object ID^GUID structure, or a segment has been transposed or omitted.
Resolution: Re-enter the Medical Object ID exactly as supplied in your Medical Objects registration email, in the format Namespace^Medical Object ID^GUID, then click Save.
Escalate when: The format is confirmed correct against the registration email, but messages are still not being received. Contact MediRecords Support with the rejection details.
Fetch, MQLink or Clinical Labs Results Not Arriving
Cause: The relevant checkbox in Secure Messaging settings has not been ticked and saved, or the pathology/radiology provider has not been told to route results to MediRecords using the correct clinic ID.
Resolution: Confirm the checkbox for the relevant broker is ticked and saved, and confirm with the pathology/radiology provider that they are sending to MediRecords using the correct Clinic ID.
Escalate when: The checkbox is ticked and the provider confirms results are being sent, but they are still not appearing in the Inbox. Contact MediRecords Support.
