This article provides a comprehensive guide on how to create and manage appointments in MediRecords. It explains how to book appointments for new and existing patients, schedule Telehealth consultations, and manage recurring appointments. It also covers how to edit, reschedule, cancel, and delete appointments.
In addition, this guide explains how to control appointment visibility, manage unavailable time slots, adjust appointment duration, and understand appointment colour coding. By following this article, users will be able to efficiently manage provider schedules and keep the appointment book accurate and up to date.

Viewing a Specific Patient's Appointments
This section explains how to view a patient’s appointment history and upcoming bookings.
- First, hover over an appointment in the appointment book to display a summary of the patient’s current and upcoming appointments.
- Next, go to the Appointments screen.
- Then, enter the patient’s name in the search box beside the Day / Agenda / List tab.
- After that, ensure that all dates and provider checkboxes are selected.
- Finally, review the Agenda view to see both past and upcoming appointments for the patient.
Appointment Creation Locations
This section explains where you can create a new appointment in MediRecords.
- You can click +Appointment from the Quicklinks bar.
- You can click New Appointment from the Appointments tab.
- You can click a time slot directly in the appointment calendar.
- You can click New Appointment from the Quick Actions bar inside a Patient Record.
Creating an Appointment for a New Patient
This section explains how to create an appointment for a new patient.
- First, click New Appointment or select a timeslot in the calendar.
- Next, click New to open the New Patient Appointment form.

Then, complete all required fields in the form and click Save.
ℹ️ Note:- The list of available Appointment Types are sourced from your practice's available appointment types.
- SMS reminders can be sent instantly or up to 7 days prior to the scheduled appointment. SMS messages will only be sent if you have available SMS credit and patient has a valid mobile contact number listed. Once configured for X Days Before, the reminder will be sent on the corresponding day.
- After saving, the appointment will appear in the provider’s calendar.
- Finally, a new patient record will be created automatically.
Creating an Appointment for an Existing Patient
This section explains how to book an appointment for an existing patient.
- First, click New Appointment or select a timeslot in the calendar.

To schedule the appointment, type the patient’s name in the Patient Name field, select the correct patient from the suggested list, complete all required fields in the form, and then click Save to confirm.

The appointment will now appear in the appointment calendar for the selected provider.
ℹ️ Note: Patient will receive an email that an appointment has been booked if email reminder is enabled in the Provider's Preferences.
Creating Telehealth Appointments
- First, navigate to the Appointments section.

To create a Telehealth appointment, select a timeslot or click New Appointment, enter the patient's details with a valid mobile number or email, choose the Telehealth appointment type, and then click Save to generate the consultation link.
- Once saved, a link for a telehealth consult will be available on the appointment.
The Telehealth consultation has now been scheduled and can be viewed from your appointment book.
- This consultation cannot be rescheduled for the past.
- Booking a Telehealth appointment creates a unique link for both the provider and the patient. Follow the instructions below on how the provider and patient can access a Coviu Telehealth consultation.
Provider
To open the Coviu screen, navigate to your appointment book and open the scheduled Telehealth Appointment.

Select the Telehealth Consultation hyperlink.
✅ Tip: Only the designated provider will be able to select the link and open the Coviu consultation. - The Provider will then be redirected to the Coviu Consultation. Follow the instructions as directed to enable Audio and Visual access.

After you have enabled Audio and Visual access, you will be presented with your Coviu consultation screen, as shown below.

When the patient arrives to the consultation, you will need to permit them access by selecting Accept.
You may now begin your consult.
Patient
Once a Telehealth appointment has been scheduled, the patient will receive an Email or SMS with a link to the consultation.

The link will redirect the patient to the Coviu waiting room, where they will await admittance by the doctor.
Editing an Appointment
- First, click the appointment in the calendar.
- Next, update the required fields or change the appointment status, and then click Save to apply the changes.
Creating Repeating / Recurring Appointments
This section explains recurring appointments in MediRecords and how to use the Repeat field to create them.
Recurring appointments let you schedule automatic repeats daily, weekly, monthly, or yearly. MediRecords creates future appointments based on your chosen frequency:
Daily – repeats every day
Weekly – repeats on the same day each week
Monthly – repeats on the same date or same weekday each month
Yearly – repeats annually
Use recurring appointments for ongoing treatments, regular reviews, or long-term follow-ups.
Follow these steps to create a repeating appointment series.
- First, open a New Appointment window.
Select an existing patient or create a new patient and fill in all the mandatory fields.
Now locate the Repeat Field at the bottom of the window, click the dropdown arrow to view the recurrence options, and select the desired repeat frequency (Daily, Weekly, Monthly, or Yearly).

The following options will appear depending on the frequency selected.
Daily - If you set the repeat frequency to Daily, you can choose when the event ends. Pick either End After (a number of days) or End On (a specific date).
Weekly - The Weekly Repeat lets you choose an End date and select specific weekdays. You can also set appointments to recur every two or more weeks by adjusting the number in the Repeat Every field.
Monthly - The Monthly Repeat option lets you choose the same settings as before, plus the days of the month for the appointment.

Yearly - The Yearly Repeat option lets you choose the same settings as before, plus select Months and weeks.
You can also further select different dates, times, user groups and providers by clicking on Available times
Check the appointment summary for correct recurrence details, then click Save to create all repeating appointments.
Look at the Appointment Calendar to see if all future recurring appointments are there. Hover over a booked appointment to see its details, including the next three upcoming appointments after the last one completed.
Editing or Deleting a Recurring Appointment Series
To edit a recurring appointment, click on the booked appointment
A pop-up will appear to choose whether you want to edit only the current occurrence or the entire series.

This will open the appointment window, allowing you to edit or change any required fields.
✅ Tip: A series can only be edited, it cannot be cancelled; whereas an occurrence can be edited as well as cancelled. To delete a recurring appointment, click the “X” on it and choose to delete either the current occurrence or the entire series from the pop-up box.
Patient will receive an email that the booking has been deleted if email reminder is enabled in the Provider's Preferences.
Extending or Reducing an Appointment's Duration
To extend or reduce an appointment's length without opening it, place your mouse on the top or bottom edge until a two-directional arrow appears, then click and drag to adjust the length.
The new appointment length will be reflected in the appointment calendar.
The patient will receive an email that the appointment has been changed, if email reminder is enabled in the Provider's Preferences, though it will not show the duration of the appointment.
Rescheduling an Appointment

To reschedule an appointment, click the Appointment slot and drag it to a new time.
✅ Tip: You can also drag it to a different provider.
You will receive a pop-up that the appointment has been successfully updated.
The new appointment time will now be reflected in the appointment calendar.
Patient will receive an email that the appointment has been rescheduled, if email reminder is enabled in the new Provider's Preferences.
Note: If the Reason for Reschedule appointments field is enabled in the practice settings, then the appointment window will automatically open when you drag and drop the appointment so you can add the reason.
However, this is not a mandatory field, and can be bypassed by selecting save.
Cancelling an Appointment
To cancel an appointment, select the appointment slot, click Cancel, choose a reason from the drop-down list, and click Save to confirm.
The appointment will now be greyed out.
Patient will receive an email that the appointment has been cancelled if email is enabled on the Provider's Preferences.
Deleting an Appointment
Click the X in the right-hand corner of the appointment in your calendar.
Click Yes to confirm the appointment will be deleted.
3. The appointment has now been deleted.
NOTE: Only booked appointments can be deleted. If you are trying to delete a cancelled appointment, you will encounter a pop-up message. To resolve this, you have to change the status of the appointment from Cancelled to Booked and Save. Then, delete the appointment.
If email notification is turned on in the Provider's Preference, the patient will receive an email for the booking as well as the deletion of the appointment.
Creating an Unavailable Timeslot
This feature lets practitioners add to their schedules and helps staff manage appointments better to avoid conflicts. Marking when a doctor is unavailable for meetings, holidays, or conferences prevents double bookings and ensures patients are scheduled only when the doctor is free. Overall, it improves scheduling efficiency and organisation, leading to better patient care and satisfaction.
Click New Appointment, or click the Time slot that you want to set to Unavailable.
Click Unavailable at the top of the page to switch to the Unavailable form, complete all mandatory fields, and then click Save.
The selected provider's time slot will now show as Unavailable in the appointments calendar, with the reason for unavailability clearly displayed.
Expand/Collapse Appointment Book Legend
The appointment book legend (colour key) at the bottom has a Collapse/Expand option. Use Collapse to hide the legend and get more space for your schedule. Click Expand to see the full legend again. When collapsed, you can see more appointment slots without scrolling.
- The button only appears when the legend spans multiple lines
- Collapsing the legend increases visible schedule space
- Available in Day, Week, and Month views
Viewing Appointment Audit History
MediRecords keeps a history of all changes made to appointments. This includes creating, editing, rescheduling, cancelling, and deleting appointments for both individual and group bookings.
This helps you track changes, see who made updates, and review appointment activity when needed.
You can view appointment history in two places.

Each audit entry shows:
- The date of the action
- The time of the action
- A description of what happened
- The type (Appointments or Engage)
- The user who performed the action
Some entries include a “here” link that opens more details.
Appointment Actions Recorded
Creating an Appointment
When an appointment is created, the audit record includes:
- The date and time the appointment was created
- The name of the user who created it
- A link to view the full appointment details
The details shown include:
- Appointment type
- Patient name
- Provider
- Date, time and duration
- Room
- Status

Whether the appointment is part of a repeating series
ℹ️ Note: For recurring appointments, only the first appointment is recorded. The Repeat field shows Yes.Editing or Rescheduling an Appointment
When an appointment is edited or rescheduled, the audit record includes:
- The date and time the change was made
- The name of the user who made the change
- A link to view the appointment details
- The previous values (before the change) and updated values (after the change), so you can clearly see what was amended
Cancelling an Appointment
A cancellation is recorded as an update to the appointment. The audit record includes a link to the appointment details, and the status will be shown as Cancelled.
Deleting an Appointment
When an appointment is deleted, the audit record includes:
- The date and time the appointment was deleted
- The name of the user who deleted it
Please note that deleted appointments cannot be reopened, and no details link will be available in the audit record.
Group Appointments
Group appointments follow the same audit tracking as individual appointments. The audit record will:
- List all patients included in the group
- Show Group Appointment in the activity description
- Display Not Provided if no room has been assigned
Appointments from Different Sources
The audit history records appointments regardless of how they were booked. The table below shows what is captured for each source:

✅ Tip:- If an appointment appears to be missing, check the audit history to trace what happened to it.
- Use the details link to compare values before and after a change was made.
- Review the audit history to monitor appointments booked through online channels.
- For deleted appointments, use the audit record to help recreate the appointment details.
