Admitting a patient is a crucial step in the healthcare process that involves the formal entry of an individual into an admitted care setting. The Admissions module plays a pivotal role in this process, facilitating the smooth transition of a patient's first contact through to discharge.
Note: To complete the steps in this article, you must have first configured a Ward, Room, and Bed. Instructions on this can be found in Admissions Module: Configuration.

Viewing the Admissions List
The Admissions List is a real-time list of patients currently receiving care within a HealthCare Facility.
It allows you to:
- See who is admitted at a glance
- Quickly view key patient information such as name, location, Reason for Presentation and Admission Status
- Track and manage patients throughout their stay
This tool helps healthcare providers stay up to date and coordinate care more efficiently
Open the Admissions Tab on the left menu pane to view the list of admitted patients.
Filtering the Admissions List
The Ward Filter available in the Admissions List allows you to filter the patients allocated or admitted to a specific Ward/s. By default, all patients with an allocated Ward and no Ward are selected. You can filter by the following information:
- Status - Pre-Admitted, Ready to Admit, Admitted, Emergency, and Discharged
- Date Range
Note: Once you have applied a filter, it will remain sticky, so it is remembered after you log out and log back in again. If you find some information looks to be missing, check you haven't got a filter applied that might exclude it.
Customising the Admissions List Columns
You can change which columns are shown in the Admissions List, and rearrange their order to suit your preference. Any changes made to the columns are user-specific, so changing your columns will not affect any other staff in your practice. Customised columns are saved to your profile, so whenever you log back in to MediRecords, you will see your customised columns by default.
- Click the Customise Columns icon, indicated using a horizontal set of 3 dots.
- Click the Show icon beside any fields you do not wish to see.
- To add a field to the Admissions List, click onto the Hide icon.
- You can also rearrange the order of your columns by clicking anywhere into the field name, and dragging a field to be higher or lower in the list.
- After making any changes, ensure that you click Apply.
Note: The Patient Name, Date of Birth and Sex columns cannot be removed from view. They are indicated via a disabled Eye icon that cannot be clicked.
Adding a Note to a Ward
You can add a Note in a specific Ward/s, to send an announcement to other users working on those Ward/s. When filtering by a single Ward, the Add icon will show inside the filter. Clicking this icon will show the New Note modal. There can be only one Note associated with a Ward at a time.
When a Note has been attached to a Ward, every time the Ward is selected in the Filter, the message will be displayed.
Admitting a Patient - Planned
Admitting a patient is a crucial step in the healthcare process that involves the formal entry of an individual into an admitted care setting. The Admissions module plays a pivotal role in this process, facilitating the smooth transition of a patient's first contact through to discharge.
The first step in admitting a patient involves capturing essential demographic information, such as name, age, address, contact details, and insurance information. This step ensures accurate identification and establishes a foundation for the patient's record.
Note: The Patient record must have been created in MediRecords first before you may admit them.
- Under Admissions, select the Find/Add Patient option.
- To find a specific patient, enter the patient's name in the provided search bar and click Search. Patients can be searched by first name, last name, date of birth, or patient identifier.
- A list of potential matching records will be returned.
- Click the Plus icon beside the patient you wish to admit, to display a drop-down of Admission Types.
- Select Planned.
- Enter the following information for the Admission:
- Reason for Presentation (select from the SNOMED-coded list - free-text is not allowed) *
- Attending Provider
- Facility *
- Admission Date and Time *
- Room and Bed number
Note: Mandatory fields are indicated with an asterisk above.
- Click Save, and click Yes on the confirmation prompt.
- The patient has now been admitted as a planned admission.
Admitting a Patient - Urgent
In certain urgent situations, patients may need to bypass the standard pre-admission steps and be admitted directly, ensuring prompt and critical care.
If you do not yet have a patient record created for the patient, you will need to do this first before you can admit them. Steps on creating a patient record can be found in Patient Record Management: User Guide.
- Select Find Patient
- Enter the patient's name in the search field and select Search
- Click the Plus (+) next to the patient you wish to urgently admit
- Select Urgent Admission
- The Urgent Admission Form will now open.

Enter the following mandatory information for the Admission:
- Reason for Presentation (select from the SNOMED-coded list - free-text is not allowed) *
- Attending Provider
- Facility *
- Admission Date and Time *
- Room and Bed number
Note: Mandatory fields are indicated with an asterisk above.
- Select Save, then click Yes on the confirmation prompt.
- You have now successfully admitted your Urgent patient.
Admitting a Patient - Emergency
- Select Find Patient
- Enter the patient's name in the search field and select Search
- Click the Plus (+) next to the patient you wish to urgently admit
4.Select Urgent Admission
- The Urgent Admission Form will now open.
- Enter the following mandatory information for the Admission:
- Facility *
- Admission Date and Time *

Room and Bed number
Note: Mandatory fields are indicated with an asterisk above.
7. Select Save, then click Yes on the confirmation prompt.8. You have now successfully admitted your Emergency patient.
Moving a Patient between Wards, Beds, or Rooms
- Navigate to Admissions.
- Choose any patient who is Admitted in Status.
- Select the Ellipsis icon
- Click on Move Patient
Input the following important details about a patient's transfer before clicking Save:- Ward
- Room
- Bed
- Reason
- Upon successful transfer, you will see a green message box confirming, "Patient has been successfully moved."
