By default, MediRecords displays every provider's appointments to every user on the Appointment Calendar. Some practices prefer each provider to see only their own appointments, for example to avoid friction between practitioners comparing appointment loads. This article walks a Practice Owner through using the Appointment Provider Filter to restrict a specific provider's view to their own appointments, and the limitations to know about before relying on it as a privacy control.

Before You Start
📌 Important:
- This is a per-user preference, not a practice-wide lock. There's no admin setting that applies this to other users automatically, each doctor's filter has to be set individually (or set on their behalf, as a Practice Owner, using the steps below).
- Show Providers with Active Sessions and the Appointment Provider Filter can't be used together. The Appointment Provider Filter field is disabled while Show Providers with Active Sessions is ticked, so it needs to be unticked first.
Restricting a Doctor to Their Own Appointments
- Click More in the side navigation to reveal a drop-down list, and click Settings.
- Click Subscription Details.
- Click Users.
- Click the tick-box next to the name of the doctor being configured, then click Configure.
- This opens the User Configuration Form. Click into the Appointments section to reach their Appointment settings.

If Show Providers with Active Sessions is ticked, untick it. This must be off before the Appointment Provider Filter field can be edited.
- In the Appointment Provider Filter field, remove any other providers currently listed and search for and select only the doctor's own name.
- Click Save to save the change.
Note: If the doctor is configuring their own view rather than having a Practice Owner set it up for them, they can instead click the Person Icon on the MediRecords menu ribbon, then click Preferences, which opens their own Preferences directly, skipping the Users menu steps above.
Repeating This for Additional Practices
This is a per-practice setting, not a tenant-wide one. If the doctor has access to more than one practice, repeat these steps for each practice they use. Setting the filter in one practice does not apply it to any other practice they can access.
Limitations to Be Aware Of
ℹ️ Note:
- There's no audit trail for this setting. If you need to check whether a doctor has changed their own filter and gone back to seeing every provider's appointments, there is currently no way to see this from within MediRecords.
- If you need a stronger guarantee than a per-user preference, the only tool available today is removing the doctor's Update User privilege. This stops the doctor changing their own Appointment Provider Filter, but it also blocks them from changing any of their other preferences (Default Appointment Type, SMS Template, and so on), not just this one. Weigh this trade-off carefully before applying it, and contact MediRecords Support if you're unsure of the impact for your practice.
