The Department of Veterans’ Affairs (DVA) provides healthcare benefits and support services to eligible veterans and their families. Within MediRecords, patients identified as DVA patients can be recorded with their DVA number, card type, and healthcare entitlements, ensuring that they receive the correct benefits such as discounted medications through the Repatriation Pharmaceutical Benefits Scheme (RPBS). Recording this information accurately allows practices to streamline billing, verification, and reporting for DVA patients.
Managing DVA patients in MediRecords makes it easier for clinics to comply with DVA requirements while also simplifying day-to-day administration. From creating a DVA patient record to verifying details via Online Veterans Verification (OVV), practices can ensure patient data is up to date and claims are processed smoothly. Patient Views can also be customised to filter and identify DVA patients quickly, making it easy for staff to manage care, appointments, and billing specifically for this patient group.

Creating a DVA Patient & Adding DVA Conditions
1. Navigate to the Patient Record and click Details then Settings.
2. Enter the DVA No. on the right-hand side and Save.
3. Click OVV (Online Veterans Verification) to verify the DVA No.
4. Select the DVA Card Type and colour.
5. Click New beside DVA Condition, and enter the information about the Condition. Click Save.
Identifying DVA Patients using Patient Views
In order to find Patients that are only DVA we will have to create a 'New View'. A view will enable you to filter out your entire list of patients so that it will only show the specific type of patients you want, such as DVA patients. To do this:
1. From within the Patients homepage, click Views
2.Click Create New View at the top of the page, Then Click View Name and enter a Name for the view:
3. Select Entity for Patient Settings, Select Field for DVA Number, Select Operator for Contains Data:
4. Next we want to make sure it's only showing Active Patients so Click And, Select Entity for Patient, Select Field for Record Status, Select Operator for Equals, then Active. Lastly click Save.
5. Now go back into the Patient's page Select the View you have just created and now you will only See Active DVA patients:
Adding a DVA Condition to a Prescription
You may at times need to annotate the condition being treated by a medication when prescribing to a DVA patient. To link a Condition to a prescription, follow the below instructions:
- Open a new prescription for the patient, and add the required details for the medication. Complete all pages until you reach the last window.
- In the Reason for Script section, you can then create or select a pre-created Condition for the patient
- If the Condition already exists for the patient, change the Existing Toggle to Yes, and select a Condition from the list.
- If the Condition does not yet exist, set the Existing Toggle to No, search for the Condition name and select it from the list supplied.
- If the Condition should be added to the patient's Medical History list, set Add to PMH to Yes.
- If the Condition should be confidential, set Confidential to Yes.
- Finalise the prescription, and the Condition information will be sent in the payload to eRx.
Asynchronous DVA Approvals for Prescriptions
Department of Veterans' Affairs (DVA) has an asynchronous process to request prescription Approval numbers via a PDF form submission. The Authority Form/Prescription Number is required when making these requests, which is used by the DVA to match the specific prescription to the Approval number they provide.
