Saving a referral to a patient's medical record provides immediate access to treatment history, ensures continuity of care, and protects against liability. It helps streamline workflows and enables quick reference during follow-up appointments. Saving a referral on a patient file also makes it quick and easy to attach the referral to invoices when required for claiming purposes.

Adding a Referral
Follow the steps below to add a referral to a patient record:
- Open the patient record.
- Go to Details > Demographics.
- Select the Referral tab.
- Click + to add a new referral.
- Complete the following fields:

| Date | The date of the referral |
| First Used Date | The date the referral was first used |
| Referred By | Contact look-up field. If the referring contact isn't listed, you can create a new one directly from this field using the + icon. For assistance with creating a new Contact, please see Contact Management - Health Professionals & Service Providers. |
| Referred To | Look-up field for who the patient is being referred to |
| Subject of Referral | The reason for the referral |
| Type | See the table below for the available options and what each one does |
| Details | Free text field for any additional information |
| Upload file | Attach the referral document |
Two additional options are available when adding the referral:
- Add to Correspondence - tick to also add the referral to the patient's Correspondence record
- Mark as Confidential - tick to mark the referral as confidential
Referral Type Options
| Type | Behaviour |
|---|---|
| Standard | 12 months by default; the number of months is customisable |
| Non-standard | 12 months by default; the number of months is customisable |
| Indefinite | For a patient's ongoing or chronic condition, this referral doesn't expire unless a new condition arises. |
| Lost | Used when a valid referral existed but the physical copy has been lost, stolen, or destroyed. |
| Emergency | Used when the patient needed emergency treatment before a formal referral could be arranged. |
| Hospital | Used when the referral originates from a hospital attendance rather than a private referrer. Requires the Facility ID field to be completed. |
| Remove Exemption | Removes the months count |
Creating a Task from a Referral
You can create a linked Task directly from the Referral window while creating a referral:
- Click More.
- Set the Assignee for the Task.
- Set the Due Date.
- Finish and save the referral record as normal.
ℹ️ Note: Saving the referral creates a linked Task with the following details:
- Assignee: the user who created the referral record
- Type: Task
- Status: Open
- Due Date: the date set in the referral modal
- Work List: optionally added to an existing Work List, if selected
- Priority: Medium
- Subject: the Subject of Referral entered above
- Description: the same as the referral's Details field
